Vendor Declaration & Conditions of Entry 

Great Southern Yearling Sale 
Sugarloaf Equestrian Centre, 315 Coates Park Road, Cobbitty Vendor Declaration & Conditions of Entry 

This Vendor Declaration must be completed and signed by the Registered Owner for each horse nominated to the 2025 Great Southern Yearling Sale (“the Sale”). This form sets out the terms and conditions under which horses may be nominated and entered into the Sale. 

By signing below, I/we hereby acknowledge and agree to be bound by the following: 
1. General Compliance 
• All events hosted by Great Southern Yearling Sale must comply with all applicable government  laws, public health orders, and livestock regulations.
 
This includes, but is not limited to:
o Venue safety and emergency protocols; 
o Animal welfare and biosecurity compliance; 
o Veterinary emergency response procedures. 

Horse Health Declarations must be submitted upon arrival at the venue. No horse will be permitted on  the grounds without a correctly completed declaration. It is the Vendor’s responsibility to ensure the form is  current, truthful, and compliant with biosecurity requirements. 

2. Nomination Terms 
• The Vendor must be the registered owner of the horse. 
• Nomination fees are payable at the time of nomination and are strictly non-refundable, except where a nomination is declined by the Committee, in which case the nomination fee will be refunded in full.
• Horses must be registered with either the Australian Stock Horse Society or Australian Quarter  Horse Association. 
Pending registrations will be accepted upon nomination, provided that final registration is completed no  later than four (4) weeks prior to the commencement of the Sale. 
• Failure to complete the registration within this timeframe will result in forfeiture of the nomination fee. 
Remarks: 

  • Catalogue remarks must be limited to 60 words. 

  • The Sale Organiser reserves the right to edit excessive remarks. 

  • Note: Nominations will not be approved unless this declaration is signed and the nomination fee paid in  full. Once accepted, nomination fees are non-refundable.

  • The Sale Committee may restrict entries at its discretion where nominations exceed capacity. 


3. Vendor Duty of Disclosure 
The Vendor must disclose (in the catalogue or to the agent if discovered later): 
• Genetic disorders (carrier or affected) 
• Windsucking, roaring, or symptoms of wobbler syndrome; 
• Cryptorchidism or genital deformities; 
• Semen or embryo retention. 
Failure to disclose may result in the horse being removed from the Sale without refund. 
4. Sale Agent 
• The appointed Sale Agent is Nutrien Moss Vale. 
• Commission is 7% + GST on the final sale price and is payable on all sales up to 10 days post-sale,  whether auctioned or sold privately. 
• Vendor payments are due within 12 days of the sale date. 
• Vendors are responsible for accurate provision of bank and tax details. The Agent is not liable for  delays caused by incorrect or missing information. 
5. Sale Day Requirements 
• All horses must be Led. 
• All Colts must display a green identification disk on bridles 
• All Colts must be handled by persons over the age of 18 
• All Colts 2 years and older must wear a bit when outside their stable and a collar when tied. • 
• All youth (under 18) must wear an approved, securely fastened helmet while mounted, leading, or  handling horses. 
6. Prohibited Substances Policy 
Drug Policy 
• A veterinary certificate does not exempt the horse from the No Prohibited Substance rule. • A strict No Prohibited Substances policy applies. This includes any stimulant, depressant,  tranquilliser, anaesthetic, or psychotropic substance. 
• Penalties for Positive Test Results: 
o Immediate removal of the horse from the sale and forfeiture of nomination fees. o Handler Penalty: $500 fine. 
o Registered Owner Penalty: $500 fine and a 24-month ban from future nominations. • Purchaser Rights: Buyers may request drug testing at their own expense immediately after  purchase. A positive result may nullify the sale.
7. Inspection & Registration Compliance 
• Horses must attend inspections- failure to do so will result in removal of the sale. • Identity, sex, colour, and all brands must match the Certificate of Registration. • Horses with missing, illegible, or inconsistent branding/markings will be removed from the sale  unless positively identified by a microchip. 
• Horses with discrepancies will be rejected without refund. 
• The original Certificate of Registration and signed transfer form must be presented at inspection.  Failure to do so will result in disqualification. 
8. Catalogue Information 
• Catalogue data is based on vendor-supplied information. While reasonable care is taken, the  Organisers do not guarantee accuracy. 
• It is the Vendor’s responsibility to verify all printed catalogue details. 
• Disputes relating to statements, warranties, or horse condition are the sole responsibility of the  Vendor and must be resolved between Vendor and Purchaser. 
9. Liability and Indemnity 
• The Organising Committee, Great Southern Yearling Sale, accept no responsibility for injury,  damage, or loss to: 
o Horses, 
o Riders or handlers, 
o Spectators, 
o Property, 
o Any third parties.
